TXM Recruit is working in partnership with a global company on an exciting new project in Coleshill. They are looking for an experienced Facilities Administrator to become part of an ever expanding and skilled team.
Your role will be to provide administrative support and coordination covering finance, purchasing, maintenance and general support to the operational teams as and when required.

MAIN RESPONSIBILITIES

·         Travel to sites to work directly with contractors
·         Assisting handling of issues raised by the client
·         Coordinating Administration and Quote queries both internally and externally
·         Help set up yearly service purchase orders and any ad-hoc purchase orders as required
·         To deal with any requests and issues in the Administration and Quotes inbox and escalate where needed
·         Ensuring all documents are up to date and compliant online with our audit schedule
·         Raising purchase orders
·         Arranging BBV inductions
·         Assisting in booking contractors to site
·         Receipting purchase orders
·         Responsible for receipting P-Cards for the team and ensuring prompt submission.
·         Contribute to reducing levels of Customer complaints.
·         Run periodic and ad-hoc reports from the Launchpad system
·         Raise new work orders within the CAFM system
·         Contribute to submission of overtime sheets
·         Update individual Quotes and actual Quotes Log
·         Responding to queries via shared mailbox and telephone
·         Ordering stock, stationery, and PPE for sites/staff
·         Assisting in month end reporting/billing
·         Issuing planned jobs to Engineers/subcontractors and assist in ensuring these are closed promptly
·         Creating logbooks for new sites and printing any additional sheets required


Hours: Monday – Friday, 8AM – 4PM

Pay: £25,000
 
REQUIRED SKILLS AND QUALIFICATIONS

·         Experience in managing a workload via Planon or Maximo CAFM system would be desirable.
·         Experience of using COUPA and SAP system would be desirable.
·         Proficient in all MS Office programmes.
·         Ideally have previous experience of working on a helpdesk/Contract Admin role in a facilities management environment.
·         Be able to demonstrate using their own initiative as well as working as a team.
·         Possess good analytical and organisational skills.
·         Excellent communication, dealing with all levels of management, customers and suppliers both internal and external.
