Hourly pay rate is £18.81 Umbrella or £14.31 PAYE
Job Function
Reporting to the Facilities Manager - Office facilities and infrastructure maintenance providing pro-active support in ensuring that the office infrastructure is maintained to an appropriate level corresponding to the requirements of the company’s Quality, Health & Safety & Environmental Policies and in line with UK H&S at work legislation.
The successful candidate will be required to deputise for the Facilities Manager when required.
Main Responsibilities
- Daily waste disposal management
- Data capture for local, regional and global reporting for Facilities, Sustainability and Real Estate
- Administration for the UK Commercial vehicle fleet, including but not exclusive, new orders, return of vehicles, monitor fuel mileage, issue and cancel fuel cards, insurance administration and notification, notification of accidents to HR and Legal, fines and penalties. Carry out driver licence checking. Accurate records keeping for the Fleet for reporting purposes.
- Provide support to the head of Real Estate and Facilities, for minute taking, data gathering and reporting.
- Update the Facilities section on Cosmo.
- Capture, log, action requests from staff and colleagues using the Facilities help desk
- Make sure the office is kept clean and tidy, by overseeing the on site cleaning and carrying out routine checks.
- Create new starter set ups, issue business cards, staff security passes and IDs, provide office orientation and QHSE staff Induction for all staff.
- Assist with control and security of office access, monthly audits of the security access system, administration of new starters and leavers.
- Cover reception and Cloud booking administration when require
- Carry out or arrange routine tests and statutory testing, implementation and recording to be up to date. Lighting systems and emergency lighting, Water fixtures and fittings – this includes water heaters and temperature monitoring. Fire detection system
- Facilities administration including Purchase requisitions, Purchase Order, Goods Receipt and credit card administration.
- Perform routine infrastructure maintenance tasks and repairs as necessary and within company polices/standards
- Ensure all relevant materials/equipment stocks necessary for efficient office operation are maintained at the required levels and immediately available.
- Liaise with the building manager and the security team to:
- Arrange site security access cards and permits to work on site
- Supervise third party contractors on site as needed (special projects, construction, refurbishment, etc.

- Book and process incoming and outgoing courier services and necessary documentation.
- Assist and carry out regular office Health and Safety inspections e.g. (PGIs), contractor audits
- Perform relevant risk assessments in relation to maintenance activities as requested by the Facilities Manager /QHSE
- Provide support in the preparation and planned maintenance of equipment, in addition to registering portable electrical equipment and PAT testing status / records
- Carry out internal monitoring and compliance checks, including audit preparations for ISO 45001 14001 and 500001
- Maintain and update copies of all relevant departmental documentation, internal/external specification and COSHH data
- Liaise with Hitachi and external personnel as required to complete the duties of the post
- Assist with any ad-hoc duties required by the Facilities Manager and Head of Real Estate and Facilities.
- Emergency responder, oversee, fire drills, emergency evacuations and first aider duties, ensure, health and safety equipment are in good working order and up to date.
Essential Licences / Competences
- At least 2 years Facilities experience
- Understanding of water and fire safety regulations
- Fire Warden responsibilities (Training provided)
- First Aider responsibilities (Training provided)
- Experience working with SAP
- Experience working with CAFM (Computer Aided Facilities Management) software
- Maintenance of building services
- Basic Electrical Knowledge. (Mechanical / Electrical or Services background)
- Ability to read and interpret schematics (both electrical and mechanical)
- Portable appliance testing equipment (Company will provide training)
- Sound knowledge of, and compliance to, rules and regulations
- Proactive in anticipating office requirements
- Able to prioritise and manage daily office requirements
- Good written and verbal communication skills
- Able to represent Hitachi in a professional manner at all times
- Strong team player
- Able to interface effectively with all levels of personnel both within and outside the company
Desirable
Licences / Competences
- IWFM Level 2
- IOSH/NEBOSH
- First Aid (Company will provide training)
- Fire Warden (Company will provide training)
- Intermediate IT skills – typically Word, Excel, outlook, SAP
